Position Summary:
The Document Control Clerk is responsible for organizing, maintaining, and managing the school's critical documents and records to ensure easy access, compliance, and confidentiality. This role is essential to supporting both academic and administrative functions by ensuring accurate documentation and effective file management practices.
Key Responsibilities:
Maintain and organize digital and physical filing systems in accordance with school and regulatory standards
Receive, review, scan, and file a variety of documents including student records, administrative files, contracts, and reports
Ensure the accuracy and completeness of all incoming and outgoing documentation
Control access to confidential files and ensure compliance with data privacy policies (e.g., FERPA)
Track document versions and manage revisions to ensure the most current documents are used
Coordinate with academic and administrative departments to support document requests and record retention needs
Assist with the preparation of reports, audits, and record reviews
Dispose of records in accordance with the school’s retention schedule and compliance requirements
Support other clerical and administrative duties as needed
Qualifications:
High school diploma or equivalent required; Associate’s degree or coursework in office administration is a plus
1–3 years of experience in document control, records management, or administrative support
Strong attention to detail and organizational skills
Proficiency in Microsoft Office (Word, Excel, Outlook) and document management systems
Ability to handle confidential information with discretion and integrity
Familiarity with document retention policies and practices (FERPA knowledge preferred)
Excellent time management and communication skills
Experience working in an educational or nonprofit setting is desirable
